1. When you started Ruby Speech Therapy, you only had access to Colib forms. How did you manage to run your private practice?
I felt like there wasn’t a “headquarters”. I had to use Google Docs for my notes, and then this other solution for my invoicing, as well as setting my own email reminders. It was very piecemeal.

2. After we introduced our practice management solution, you were one of the first users. How has it helped you manage Ruby Speech Therapy?
As more features came out, Colib quickly became my touchpoint for Ruby Speech. It was very helpful to have everything in the same place. The thing that has helped me by far the most are the reminders. As a small business owner in multiple small businesses, the quantity of emails and the number of people you’re in touch with can be overwhelming without admin, so the reminders really helped me there.
It has also helped me to not have any physical files, which I didn’t even need. I could just scan the documents and return them to clients. I wouldn’t have to worry about keeping documents and storing them for 7 years. -
3. What would you say about the setup process when you first used Colib?
It’s great to know that once I put something in the scheduler for a client, everything is taken care of. I can just forget about it, I don’t have to check on my clients. I even had someone cancel today, it was good because she had received her reminder for tomorrow, and it seemed like she was going to forget to cancel otherwise.
Without reminders, I would have been waiting for her. Instead, I have the possibility to fit other clients in that cancelled spot. -

4. What would you say about the setup process when you first used Colib?
I found the setup process really easy. It was easy to set up online forms and to send them. I remember when I was spending hours creating online forms before Colib. I would never be able to spend that time now.

5. What were the most significant gains you noticed?
I don’t have numbers in mind for the amount of time I saved, however I can say it’s allowing me to keep timely records, which would be immensely challenging without the system. It is very easy to associate notes with sessions. Writing chart notes is less taxing. I don’t have it weighing on me, I can just do it very quickly.

6. Speaking of notes, we know they are very important for SLPs, how do you manage them?
I don’t usually have my computer with me during sessions, so I try to type notes after the sessions. I almost always email parents after the session and I can copy that as my note. I try not to take too many paper notes because they just sit there, and I never have time to transfer them.

7. We know it is now critical for practitioners to provide a great client experience, how has it improved with Colib?
I received mainly positive feedback from the reminders and from the notifications of a change whenever I need to make a change in the calendar.

8. What’s your experience with Colib on mobile or tablet?
I open it on my phone if I want to find a phone number for one of my clients. I also use it to check my schedule really quickly. I do these things quite often actually. It’s always very easy, I’m happy with it on mobile.
